File Sharing

Teamwork enables workspace members to share files of all types including images, videos, spreadsheets, documents, etc. When a member of a workspace shares a file, the file is added to the workspace as a new workspace message that is accessible to all members of the workspace. All shared files are also listed in the MEDIA panel that opens by clicking the View Media icon at the top of the workspace. Files shared with a workspace are listed by date with the most recently added file displayed at the top of a workspace and the oldest file displayed at the bottom. If there are no files shared with a workspace, the MEDIA panel displays a message indicating no files have been shared. If there are more files than can be displayed on one page, scroll down through the MEDIA panel until you see a message indicating you have reached the bottom.

You can share a file that is stored on your computer, a network folder, or any file sharing account to which you have access. Files must be uploaded one at a time and cannot be larger than 20 MB. Images shared with a workspace display a thumbnail preview in the MEDIA panel when the image is 12 MB or less and is a .jpg, .jpeg, .png, .bmp, or .gif file.

If you are signed in to Teamwork when a file is shared and your notifications for that workspace are set to All, a notification is generated that displays the workspace name, the file name, and the name of the person who shared the file. Share a File with a Workspace

Use one of the methods below to share a file with a workspace.

Upload a File

  1. Select the desired workspace.
  2. Click the plus sign icon next to the message input area at the bottom of the workspace.
  3. Navigate to the location of the file.
  4. Click Open.

Drag and Drop a File

  1. Select the desired workspace.
  2. Navigate to the location of the file, drag the file, and drop it on the center of the workspace.
    Note: On a Windows computer, you may need to click the middle icon in the top-right corner of the Teamwork window or folder window where the file is stored to resize the window and make space to drag and drop the file into Teamwork.
  3. When the "Add File" dialog appears, optionally edit the file name and enter a file description in the "Add Comments" area, then click Add. If you hold the Shift key down when you drop the file, it is automatically added to the workspace with the existing file name and no comments.

Copy and Paste an Image

Images copied and pasted to a workspace are converted to a .png file, which increases the file size. To add an image in its original format, use the Upload a File instructions above.

  1. Select the desired workspace.
  2. Copy the desired image to the clipboard on your computer.
  3. Click someplace on the workspace interface outside of the “Type a message here” input area (the cursor is positioned there by default).
  4. Paste the image from the clipboard using keyboard shortcuts (there is no right-click Paste option).
  5. When the “Add File” dialog appears, optionally edit the file name and enter a file description in the "Add Comments" area, then click Add.

Download a File from a Workspace

  1. Select the desired workspace.
  2. Scroll through the workspace to find the desired file or click the View Media icon at the top of the workspace. If needed, scroll down through the MEDIA panel to locate the desired file.
  3. Click the desired file. Depending on the browser used by Teamwork, you can access the file in the downloads area at the bottom of the browser or select the desired option in the dialog that appears.

Delete a File in a Workspace

  1. Select the desired workspace.
  2. Click the View Media icon at the top of the workspace.
  3. Locate the desired file in the MEDIA panel that appears.
  4. Hover the mouse cursor over the file you want to delete, click the trash icon that appears on the right side of the file, and click Delete File in the dialog that appears.
