Rooms

You can manage the guest rooms and the room phones here. Click on the room name or room number to manage a specific guest room.

Table 1. Rooms

Parameter

Explanation

Floor

Floor where the guest room is located. This entry defines the vertical arrangement of the guest rooms in the view display of the Hospitality Manager.

Room number

Enter the number of the guest room here (the room cannot be opened in the system without a room number).

Room name

Enter here  the name of the guest room ( as an option)

Call number

Internal call number of the room phone. It may match the room number, but does not have to. The internal call number of a guest room is connected with properties that vary in certain ways from the properties of a normal user).

Current or new call number: Select this option to keep the current call number or if a new call number should be opened that does not yet exist in the internal numbering plan. A new call number is opened by overwriting the existing call number with the new one and then clicking the Apply button.

Convert user to room and adopt call number: Select this option to use the call number of an already opened user.

No room phone: Select this option if this guest room is not equipped with its own phone.

Table 2. Room maintenance

Parameter

Explanation

Room availability

Not available: A room with this status can still be occupied ; a maintenance note is displayed during check in. This setting can also be changed via Hospitality Manager.

Maintenance notes

The maintenance note can be seen in Hospitality Manager as Quick info when displayed in the maintenance icon. It can also be edited in Hospitality Manager.

Route

The  route uses the trunk group allocation to determine which network interface is used to route an outgoing cal from this room phone.

Number of private contacts

Here you can specify the upper limit for the number of private contacts for this room phone.

Cost centre

Charge counter for this room phone

Surcharge calculator

Here you can select a surcharge calculator if the default surcharge calculator is not to be used on this room phone. The default surcharge calculator is selected under Hospitality/Hotel / General.

Silent intrusion protection

Silent intrusion (intrusion without prior announcement) on this room phone is not possible.

Note:

Call intrusion protection and Silent intrusion protection are separate features.

Call forwarding protection

No CFUs can made to this room phone.

Announcement protection

No Announcements can made to this room phone.

Table 5. Call identification (CLIP) - Settings for outgoing CLIP

Parameter

Explanation

Create CLIP number automatically

The call number display at the called party is determined automatically by the communication server based on the dialling-in number and other parameters.

You yourself define under CLIP number the call number display that is transmitted and specify the format under CLIP format.

CLIP format

The CLIP format must be made to match the dialling-in number (the examples in brackets are dialling-in numbers that refer to the call number “+41 32 624 1344”):

  • Unknown (default value): The CLIP number is not entered according to a specified format (example: “44”, “1344”, “0326241344”. If you select this format, you need to match the CLIP number with the user’s  dialling-in number.
  • National (Recommendation): Enter the CLIP number with this setting in accordance with the national format: “326241344”.
  • International: Enter the CLIP number with this setting in accordance with the international format: “41326241344”.

CLIP number

Enter here the CLIP number in accordance with the selected CLIP format.

A voice mailbox is assigned to the user and activated.

Automatic call forwarding to voice mail

An incoming call is automatically forwarded to the user's voice mailbox if the user

  • does not answer the call,
  • is busy,
  • rejects the call.
Table 7. Call Forwarding Unconditional

Parameter

Explanation

Call forwarding type

Call forwarding type. The selection also indicates in each case the function code the user has to enter to activate the function on a phone without a display.

Call forwarding destination

Call number of the user to which the call is being forwarded.

Name

Name of the user to which the call is being forwarded (destination user).

Creating and editing a guest room

If you are in the detail view, first change to the list view by clicking the menu input Room on the navigation tree.

  • To create a new guest room, click the New button and follow the input prompts.

  • To edit the room properties, click on the name or number of the room or the number of the room phone.

Searching for and displaying specific guest rooms

To search for and display specific rooms, enter as filter criterion a string of characters contained in one or more columns then click the Filter button.

All rooms are displayed for which the character string entered is contained in at least one column (see also "Filters in lists").

Modifying several guest rooms at the same time with Multi edit

  1. To define the same settings for several rooms, click the Edit multiple button.

    Control boxes are displayed on the left side.

  2. Check the boxes of the guest rooms you want to delete, and click the Delete button once again.

  3. Select a room the settings of which you wish to modify for all other rooms.

  4. Select at least one object.

    The modified settings are surrounded by a yellow frame.

  5. Click the Apply button.

    The settings are modified for all selected rooms.

Note:

Grey stored fields cannot be modified in Multi-edit mode.

tips:
  • Before or after clicking the Edit multiple button, you can limit the displayed list with the Filter.
  • To copy all possible settings, click the Copy all button in Multi-edit mode.

Deleting one or more guest rooms

  1. Click the Delete button.

    Control boxes are displayed on the left side.

  2. Check the boxes of the guest rooms you want to delete, and click the Delete button once again.

Tip:

To select or deselect all the guest rooms, click the check box in the table title.

Switching from the edit mode to the overview

To switch from the edit mode to the overview, click the highlighted entry in the navigation tree or click the Cancel button.

Converting users to rooms

  1. To convert or assign users to specific rooms, click Convert users to rooms button.

  2. All configured users are displayed with their names, associated call numbers, and other details.

  3. Select the user you would like to assign to a room. Click Convert users to rooms button.

  4. In the Convert users to rooms dialog-box, assign the Floor on which the user’s room is located.

  5. Provide a Room number start parameter, such as the Prefix which is appended to the call number associated with the user. Also provide the Remove digits value, which indicates the number of digits that will be removed from the call number (from left). For example, if the call number of a user is 1234 and the Prefix configured is 5 and the Remove digits value is 2, then the Room number associated with the user will be 534.

  6. Check the Use Room as room name checkbox if the room name should also default to the room number.

  7. Click OK to save the changes and exit the dialog-box.

    The settings are modified for all selected rooms.

  8. Click Cancel to exit without saving the changes.
